Get to know the new document viewer and its functionalities
The new document viewer is used for:
- Viewing files on web and mobile
- Adding personal notes to files on web and mobile
- Reviewing minutes on web and mobile
- Incorporating minutes comments
- Running the presentation mode
Web
View documents (all users)
Hover with the mouse to the top of the page to uncover the toolbar:

Click on the top-left button to access the download and print options (depending on your permissions) as well as the full-screen mode:

When in full-screen mode, click on "Esc" on your keyboard to go back to the previous view.
Use the second button in the toolbar to hide or show the side panel as needed. Switch between the thumbnail and bookmark view directly in the side panel:

In the bookmark view, click on 'Add bookmark' at the bottom to bookmark the page you are currently viewing, then provide a title and save:

You can also enable the 'View bookmark on page' toggle and bookmark pages through the symbol on page instead:

To edit bookmarks, use the 'Edit' button or the three-dot menu next to each bookmark. You can also delete a bookmark by clicking on the corresponding symbol on page:

Use the third button on the toolbar to adjust the page transition, orientation, and layout. You can also open the full-screen mode from here:

Use the zoom bar in the sidebar to adjust the thumbnail zoom, whereas the zoom options in the top toolbar apply to the page viewer:

Switch between the grabbing mode (hand) and the selector (rectangle) through the corresponding symbols:

Use the selector to select on-page elements such as annotations.
Take personal notes (all users)
Switch to 'Annotate' at the top. Highlight, underline, strikeout, squiggly, draw, and note tools are available:

If you select the “Note” option, click on the place in the document where the note should appear, then enter your comment in the sidebar:

Click on the top-right symbol to show or hide the right sidebar (annotation list). Click on the symbol next to an annotation to update its status:

Select an annotation and open the three-dot menu next to it to display the edit and delete options. You can also add more annotations in a thread:

Select an annotation, then click on the styling icon in the toolbar to display the formatting options:

Select an annotation in the document to display the comment, style, and deletion options. You can also use the eraser from the toolbox to delete annotations:

Click on 'X' in the top-right corner to close the document viewer and go back to the Apollo page:

Use the toolbar at the top to add your annotations:

The layout and zooming options are available at the top left of the page:

When opening a review, by default you see your comments only. Switch to 'Show all' at the top to display any other board members' comments as well:

Click on the comment symbol in the top-right corner to display all annotations:

Search, sort, select, or filter the existing comments using the options at the top of the sidebar:

Click on one of your annotations to display the comment, styling, linking, and deletion options:

Click on an annotation by another user to add a comment or an attachment:

You can also assign a status, so you know which comments you've already gone through:

Note: The other board members, as well as the board organizers, can see your thread comments and statuses if they open the review mode, however they are not currently notified of these actions through a system or email notification. Board organizers are of course automatically notified once you submit your review.
Incorporate agenda and minutes review comments (board organizers)
In split-screen-review mode, display the comments by clicking on the corresponding button in the top-right corner:

Click on an annotation to be taken to the corresponding position in the pdf and display the comment thread and activity log:

You can also assign a status, so you know which comments you've already gone through:

Note: Board members and board organizers can see your thread comments and statuses if they open the review mode, however they are not currently notified of these actions through a system or email notification.
Adjust the page layout and zoom using the buttons at the top:

You can also display one board member's review at a time if you prefer:

Run the presentation mode (all users)
When you open an attachment from the presentation mode, the timer for that agenda item starts automatically:

Hover to the bottom of the page to unhide the bar and pause the timer if you prefer:

Go back to the agenda by clicking on 'Agenda' in the bottom-left corner, or switch to full-screen mode by clicking on the corresponding button in the bottom-right corner:

Close the presentation mode by clicking on the 'X' in the top-right corner:

Mobile app
View documents and take personal notes (all users)
Tap anywhere on the screen to unhide the toolbar. Highlight, free hand highlight, insert text, draw, and note tools are available:

Use the selector to draw a rectangle and select existing annotations:

The commenting, duplication, and deletion options are shown automatically:

With a tool selected, use the styling options on the right side to format your annotation:

Use the toolbox in the top-left corner to add annotations:

With a tool selected, adjust its format using the options on the right side of the top bar:

When selecting the tool 'Note', a pop-up opens where you can type your note text:

You can sort the tools available as you prefer:


All the comments you create appear in the annotation list in the left sidebar. Clicking on a note in the sidebar takes you to its location in the PDF document:

Select an existing note in the sidebar or in the PDF document to display the editing options:

If you create, edit, or delete a note by mistake, you can revert to the previous state by using the corresponding button in the top-right corner:

To bookmark pages in the review document, click on 'Bookmarks' in the sidebar, then on the plus symbol to add the current page to your bookmark list:

Newly created bookmarks appear in the sidebar:

To remove a bookmark, click on 'Edit' at the bottom of the sidebar, then on the minus symbol:
