Board Member - Submit agenda item proposals

View and submit proposals for agenda items

You can only submit proposals to boards or meetings where this is desired and the settings are configured accordingly. The current proposals are listed under the "Proposals" tab. You can filter by board or status (open, proposed, planned, or final) at the top and sort the proposals in ascending or descending order. The details (title, status, board, guests, and submitter) are shown on the left side of each proposal, while the proposal type and duration are displayed on the right:

 

Here is a summary of the meanings of the different statuses:

  • Open = The proposal has been submitted to a board, but no meeting has been selected for the proposal yet.
  • Proposed = Both a board and a meeting have been proposed.
  • Planned = The proposal has been accepted by the Board Organizer and added to a meeting agenda.
  • Final = The proposal has already been discussed in a meeting.

 

To propose an agenda item, click on the "+" symbol in the top-right corner:

 

Fill out the form in the "Agenda" tab by entering the title, description, and the meeting you want to add the proposal to (you can select a meeting under 'Suggested meeting' only if there is at least 1 future meeting already planned in the specified board and if the corresponding setting has been previously enabled by the Board Admin). You can also specify the type and duration of the agenda item and add a deadline for the discussion of the proposal if applicable:

 

If you scroll further down, you can add guests and upload one or more documents before saving your proposal by clicking "Propose" at the bottom right:

 

If you upload multiple documents, you can sort them as desired using the drag-and-drop buttons on the left. On the right, the document numbers will be displayed according to the chosen order:

Once you click "Propose" at the bottom right, the respective Board Organizers will receive your proposal and can schedule it for the appropriate meeting.

 

You can edit your proposal at any time as long as it has not been firmly scheduled on an agenda. Open a proposal from the list, then click the edit icon at the top right:

 

To select a meeting for a proposal that has only been submitted to a board but not yet linked to a meeting, click the three-dot icon at the top right, then select "Propose to meeting":

 

Select a meeting from the list, then click on "Move" at the bottom right:

If this option is not available, you do not have permission to propose an item to a meeting. The Board Organizer will handle your topic and schedule it in the appropriate meeting.

 

You can also delete your proposal if you wish to withdraw it. To do so, click the three-dot icon at the top right, then select "Delete":

Note: You can see not only your own proposals, but also the proposals by the other board members. However, you can only edit and delete your own proposals.


You may leave comments for the Board Organizer or other Board Members, and they can also leave comments for you. To do so, open a proposal and type your comment:

 

The options "Propose to meeting" and "Delete" are also available in the proposal overview. Simply click the three dots on the right side of the respective proposal:

 

As a board member, you can also see in your action cards on the dashboard under "Open for Proposals" whether a meeting is open for proposals:

 

When you click on "Open for Proposals," you will be redirected to the "Meetings" tab, where your meetings are already filtered by "Open for Proposals." You can add an additional filter by board, or simply click "Today" at the top right to quickly return to the current day if you have scrolled further down:

 

Open a meeting from the list and click the "Propose Agenda Item" button at the top right.

 

Fill out the form as usual. The respective Board Organizers will receive your proposal and then add it to the agenda.
