Write meeting minutes, add decisions and tasks, share minutes excerpts, and move agenda items

Once the meeting has started, you can begin to write the minutes. Click on the pencil icon of the respective meeting to enter the edit mode:

Then select "Start minutes":

You can now type your text on the right:

Note: It is not possible for two users to work on the same minutes item at the same time, as this could result in mutual overwriting.

 

If there are last-minute changes, move to the "Agenda" section, carry out the necessary modifications, and republish the agenda. All the participants will be informed automatically:

 

During the meeting, you can navigate through the agenda items in the left column:

 

If you click on the button with the three dots in the top-right corner, you can edit the selected agenda item, upload a document, or hide the item description and attachments in case they are too long to fit in the description field above the meeting minutes:

 

At the bottom you have the option to add a decision:

 

You can then add the title, description, and type of decision. You can also indicate one or more tags to facilitate a later categorization and search. A reporting option is available as well:

 

If you decide to use the reporting feature, designate the responsible person, the user who should receive regular updates, and the expected progress update frequency, then click on "Save" in the bottom-right corner:

 

Another item type that can be created through the bottom bar is the to-do:

 

Provide a description of the task, designate the responsible person and indicate the due date for the to-do. You can also indicate one or more tags to facilitate a later categorization and search. Once done, click on "Save" at the bottom:

 

If you would like to share an excerpt of the meeting minutes, you can do so by clicking on the corresponding button at the bottom:

 

You can share the minutes with meeting guests or with people external to the meeting. The excerpt will only be sent out once the meeting is set to “Final”.

 

In case you cannot stick to the plan and you need to move an agenda item to a different session, you can do so through the corresponding option in the bottom bar:

 

You may postpone the agenda item or move it to a future meeting. No minutes, decisions or tasks are taken over automatically.

Select a future meeting from the list or go to the meetings overview and create a new record if no future meetings have been planned yet. You can also indicate the reason for moving the item in the free text field at the bottom:
